Pay Rate: $30 - $35.50
System One is seeking an Administrative Assistant to provide high-level administrative and operational support to a department or leadership team within a fast-paced corporate environment. This role is responsible for coordinating daily administrative functions, managing reporting and financial tracking activities, supporting budgeting processes, and ensuring efficient communication across internal teams.
Responsibilities:
- Provide administrative support including scheduling meetings, coordinating conferences, and maintaining calendars.
- Prepare and modify reports, presentations, and correspondence for leadership and department stakeholders.
- Maintain financial records and assist with tracking departmental expenses
- Support elements of the annual budgeting process
- Compile, assemble, and analyze data for reporting purposes
- Create PowerPoint presentations for internal meetings and leadership updates
- Utilize advanced Excel functions to develop reports, trackers, and data summaries
- Coordinate Microsoft Teams meetings and support virtual collaboration
- Answer phones, manage incoming communications, and direct inquiries appropriately
- Organize and distribute mail and internal communications
- Assist with special projects and cross-functional initiatives as assigned
- Prioritize multiple tasks while meeting deadlines with minimal supervision
Requirements:
- 1–3+ years of administrative or department support experience
- Advanced Excel skills (pivot tables, formulas, reporting, data organization)
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Experience using Microsoft Teams for collaboration and scheduling
- Strong organizational and time management skills
- Ability to multi-task and prioritize in a deadline-driven environment
- Strong written and verbal communication skills
- Ability to work independently with minimal direction
- Detail-oriented with strong problem-solving abilities
Preferred Qualifications:
- Experience supporting budgeting processes
- Exposure to Power BI reporting or dashboard administration
- Experience managing reporting tools or data visualization platforms
- Corporate or enterprise-level administrative support experience
