Project Coordinator – Capital Project Support
Position Summary:
This role supports the capital stage-gate process, which is highly detailed, document-intensive, and time-sensitive. The Project Coordinator will serve as a centralized coordination point responsible for gathering inputs from engineers, preparing and maintaining intake and stage-gate documentation, submitting required materials, and tracking project status throughout the capital lifecycle.
This position is designed to reduce administrative burden on the engineering team and improve the efficiency and accuracy of the stage-gate process.
Initially, the role will focus on learning capital and stage-gate processes and documentation requirements.
Responsibilities include:
- Proactively engaging engineers to collect required project inputs and updates
- Completing, updating, and maintaining stage-gate and intake documentation
- Tracking project status and ensuring all required materials are current and accurate
- Coordinating with stage-gate, finance, and engineering teams when project scopes, timelines, or budgets change
- Ensuring documentation consistency and compliance with established templates and processes
- This is a facilitation and coordination role, not a project management role.
- No people management responsibilities
- Supports approximately 8 engineers
- Works cross-functionally with engineering, stage-gate, and finance teams
- Primarily supports internal stakeholders
This is a collaborative, team-oriented environment. The coordinator will work closely with engineers while also independently engaging other departments as needed. The role requires strong follow-through and the ability to work with minimal day-to-day supervision.
- Standard business hours (approximately 7:30 AM – 5:00 PM)
- Hybrid schedule: Onsite Tuesday, Wednesday, Thursday; Remote Monday and Friday
- Flexibility available as long as core responsibilities and hours are met
- No overtime required
- Onsite parking available
Candidate Profile
Required Skills & Qualifications
- 3–5 years of experience in a project coordinator or similar support role
- Strong Microsoft Excel and Microsoft Office skills
- Experience working with structured templates and documentation systems
- Strong organizational skills and attention to detail
- Ability to track multiple workstreams and maintain accurate records
- Proactive communication style
- Strong follow-up and accountability mindset
- Ability to work independently with minimal supervision
- Strong collaboration and cross-functional coordination skills
- Comfort working in structured, process-driven environments
- Experience in utility or construction environments
- Exposure to SAP (basic lookup/navigation only)
- Experience with auditing, documentation control, or process consistency work
- 3–5 years of relevant experience preferred
- Utility or construction background is a strong plus but not required
- Hybrid onsite requirement (3 days onsite, 2 remote)
- Non-local candidates considered if willing to relocate at own expense
- No travel required
